How to Train Your Team to Scale Your Medical Practice - EP 137

The biggest mistake medical clinic owners make is not investing enough time and effort into properly training their staff to succeed. In this episode, I’ll dive into the importance of a strong onboarding process and the reality of how long it takes to get someone up to speed. Drawing on a Harvard Business Review study, I’ll explain why even 480 hours of side-by-side training only transfers about 50% of what you know. We’ll explore how to build scalable systems, like our own Genesis University, to ensure that every team member—from front desk staff to clinic directors—is fully equipped to perform at their best. I’ll also share insights into how our team at Genesis evolved from minimal training to implementing a robust, standardized process. From video modules on services and sales to OSHA compliance and core values, every new hire now goes through comprehensive training and evaluation. This has not only improved their skills but also deepened their commitment to our vision. I’ll challenge you to rethink your own approach to staff development and hold your managers accountable for creating an environment where every employee has the tools and support to thrive. Finally, we’ll discuss the role of belief in unlocking your team’s potential. By providing the right training, fostering accountability, and giving your staff the confidence they need, you’ll create a culture where they’re eager to excel. Whether it’s refining onboarding processes or seeking staff feedback to improve systems, the goal is to build a win-win scenario. When your team grows, so does your business, leading to better outcomes for your patients, your employees, and your bottom line. Welcome to The Spinoso Podcast hosted by CEO, doctor, comic book geek, and car guy, Alex Spinoso. I help people and companies grow - especially in the medical business. While my experience and expertise is in scaling all types of medical businesses to 7, 8, 9-figures or more, I can be a mentor to anyone who wants to take ownership of their lives, become a better leader at home and at work, and overcome any obstacle that stands in their way. The Power of Proximity - EP 136

In this episode, I’m diving into a game-changing principle that can level up your success faster than almost anything else: the power of proximity. I’m talking about intentionally surrounding yourself with people who are ahead of you—those who are achieving the goals you’re aiming for or operating at a higher level than you are right now. Success leaves clues, and the energy, mindset, and habits of successful people are contagious when you’re in their orbit. Proximity isn’t just about networking—it’s about learning, observing, and soaking up the knowledge that only comes from being around greatness. We’ll get into practical, no-excuse strategies to get yourself in the right environments. Whether it’s splurging on a first-class plane ticket, volunteering at events, or even working in spaces where successful people frequent, I’ll share ways to put yourself where the action is. But proximity alone isn’t enough—you’ve got to show up, engage, and be intentional about building genuine connections. That means asking the right questions, being curious, and, most importantly, finding ways to add value before asking for anything in return. Success isn’t about waiting for an invite; it’s about creating opportunities. If you’re ready to stop talking about success and start making it happen, this episode is for you. I’ll challenge you to rethink how you approach the people and environments in your life and give you actionable steps to create opportunities that push you forward. Remember, success isn’t a solo journey—it’s about surrounding yourself with the right people and letting their influence elevate you to new heights. Tune in to learn how to get in the flight path of success and level up your life and business faster than you ever thought possible. How to Protect Your Business with Proper Documentation - EP 134

In this episode, I’m talking about one of the most important things you need when scaling your business: a robust Electronic Medical Record (EMR) system. If you want to grow your business, especially across multiple locations, you need an EMR that allows you to easily toggle between locations without signing in and out. I’ll explain why this is so important, particularly when your clients are moving across cities or even states. Whether it’s moving from LA to Nashville or Las Vegas to Dallas, an effective EMR allows you to seamlessly continue client care and keep all documentation up to date, no matter where they are. But having the right system is only part of the equation. I’ll also share why having a solid legal team to review your consent forms and documentation is critical for protecting your business. I’ll talk about a great legal team I use, Bird A Dotto, and how they help me ensure everything is compliant and legally sound. Along with that, I’ll dive into why proper documentation should be a core value in your business. The mantra here is simple: if you didn’t document it, it didn’t happen. I’ll break down the importance of keeping thorough, clear records and reviewing them regularly to ensure your team is on track. Scaling a business isn’t just about growth; it’s about setting up systems that allow you to maintain control, stay organized, and avoid costly mistakes. So if you're ready to scale and ensure your clinics or business are legally protected and efficiently run, tune into this episode for valuable tips on EMR systems, legal protection, and the art of proper documentation. Fling The Damn Starfish - EP 133

Entrepreneurship can feel like drowning in an endless flood of tasks, and if you’re not careful, overwhelm can paralyze you. But here’s the truth: being overwhelmed doesn’t have to mean giving up. In this episode, I’m sharing a mindset shift that changed everything for me. Inspired by a story about a girl saving stranded starfish one at a time, I’ll explain how focusing on just the next task—flinging one starfish into the ocean—can break the cycle of overwhelm and keep you moving forward. We’ll talk about how to reframe the reality of having a million things to do. Instead of looking at the whole beach, zero in on the task in front of you and knock it out. I’ll share my personal experiences, including how focusing on one step at a time has helped me build momentum in my business, make progress toward my goals, and avoid the burnout that derails so many entrepreneurs. It’s not about doing everything at once—it’s about doing one thing well and letting that action lead to the next. If you’re feeling stuck or tempted to tap out, this episode is for you. I’ll share practical insights and a bit of tough love to remind you that how you do everything is by doing one thing at a time. So take a deep breath, stop staring at the whole beach, and pick up the next starfish. By the end of this episode, you’ll be ready to tackle your business, one task at a time, with renewed focus and confidence. Taking care of yourself physically is the foundation of success, whether it's in your personal life or business. From the energy and focus that come with a healthy lifestyle to the mental clarity and long-term benefits, prioritizing your health isn't just about looking good—it’s about performing at your best. I'll share why small, consistent actions, like moving daily and making smarter food choices, can make a massive difference in how you show up in every area of your life. We’ll also talk about practical ways to build healthier habits without overcomplicating things. You don’t need an elaborate gym setup or hours of free time—just a commitment to move your body and fuel it with the right foods. I’ll share some of my own experiences, including how focusing on the ingredients in what I eat completely transformed my perspective on "healthy eating." Plus, we'll discuss how taking time for yourself, even in small ways, can sharpen your mind and make you more effective in your work and relationships. Finally, we’ll explore the connection between self-care and productivity. How to Build a Communication System That Scales - EP 131

Communication is one of the most important factors in scaling your business. And I’m not just talking about internal communication within your team—I’m talking about clear, concise, and consistent communication with your clients. Your clients are busy people, juggling countless responsibilities, so wordy emails or cluttered messaging won’t cut it. That’s why having a reliable messaging platform is a game changer. For my business, we use a system we built with DEF CON 1 Marketing. It’s a powerful CRM that lets us text, email, and call clients seamlessly, ensuring no message falls through the cracks. Trust me, using your personal cell phone or Facebook Messenger for client communication is a recipe for disaster. With a robust CRM like DEF CON 1, we’ve automated follow-ups with built-in email sequences, text messages, and even voicemail drops—designed to keep clients engaged for an entire year. These reminders aren’t just for leads; they’re essential for existing clients too. Appointment reminders are key to ensuring clients show up. Our system sends booking confirmations and reminders at 48 hours, 24 hours, and the day of the appointment. While it might sound like overkill, the truth is, most clients appreciate the consistency and reliability. If one out of ten people complain about too many reminders, that’s fine—they’re probably not the kind of client we want anyway. At the end of the day, having a systemized approach to client communication and follow-ups will elevate your business to the next level. Whether you’re using DEF CON 1 or another CRM, what matters is that you have a system in place and stick to it. Write standard operating procedures for how often to follow up, call, and remind your clients—it makes a huge difference. Thank you for tuning into the Spinoso Podcast! Objectively Evaluate, Consistently Elevate - EP 130

Last month, I had the honor of speaking to the management team at Integrity Auto. As usual, I put a ton of effort into preparing, and by the end, I heard nothing but praise from the audience and the owner. But as I drove home, I found myself questioning whether I had truly done a great job. Speaking to a predominantly male audience was a unique challenge for me since I typically speak in the medical and aesthetic entrepreneur space, where the majority are women. And let me tell you, women are incredible audiences—they nod, laugh, smile, and even get emotional during your talk. That kind of feedback feels amazing as a speaker. But with men? Their stoic expressions can make you second-guess everything. That’s when I reminded myself of a hard truth: my feelings don’t matter. Whether I feel like I crushed it or fell short, what truly matters is objective feedback. That’s why I’ve developed a system to evaluate my performance, one that cuts through the noise of self-doubt. I work with a coach to refine my content and delivery, and after every speech, my team follows up with the client to collect meaningful data. We ask key questions to understand what resonated, what didn’t, and whether the keynote achieved its intended purpose. We even ask the tough questions: Was the keynote a success or a failure? How likely are you to invite me back? This data is invaluable because it’s honest, direct, and focused on growth—not just making me feel good. As a speaker and entrepreneur, I’ve learned that systems are the key to success. Feelings can mislead you, but a well-designed system can help you analyze feedback, identify weaknesses, and amplify strengths. It’s not about ego; it’s about getting better every single day. That’s why I challenge myself—and you—to evaluate everything with objectivity. Whether it’s your performance, business, or personal life, having a system in place to measure and improve will consistently elevate you to new levels of success. Remember: feelings lead to failure, but systems lead to success. Welcome to The Spinoso Podcast hosted by CEO, doctor, comic book geek, and car guy, Alex Spinoso.
