    How to Increase Your Productivity with Time Blocking

    As a business owner, you often get pulled in many different directions, which can lead to thinly-spread focus and subpar quality of work. How many times have you started responding to an email, only to have a team member ping you to ask a question about an upcoming project, and then realize you had a meeting starting in two minutes?

    While there are many things that need your attention, not everything needs your attention right now. You can increase productivity by building a habit of time blocking each day.

    Time blocking is the practice of scheduling out each moment of your day on your calendar. It may look overwhelming to have a completely full calendar, but it’s a great way to understand when to focus on certain activities and create much-needed structure in your schedule.

    How to start blocking out time on your calendar
    Filling up your calendar doesn’t mean it needs to be followed exactly, every single day. Allow for flexibility, especially as circumstances change and crises inevitably arise. Think of it more as a framework, a place to get started and increase productivity before you even start working. Let me share some ideal to help you to start setting up your own time blocking calendar or get even better at time blocking.

    Start with Your Own Routines
    While the majority of your day will be work-related tasks, it’s important to set aside time for your own personal routines. Working out, for example, provides many benefits for business owners. If you prefer exercising in the morning, block off an hour to an hour and a half in the morning on your calendar for your workout time.

    Block Off Dedicated Email Time
    It can be tempting to check each email as it comes in, but interrupting your current task you are working on to check your email can shift your focus. In doing so, it will take more time to refocus on what you were originally doing, leading to a less productive work session. Block off a couple of one-hour blocks during the day, as needed, to check and respond to emails. I recommend 11:00 and 4:00, so you aren’t checking email first thing and getting off schedule first thing in the morning.

    Save Time for Lunch
    Don’t forget to eat! Schedule lunch breaks or quick 15-minute breaks as needed. The rule is, if they’re on your calendar, you have to take them. This also helps you to set boundaries, so that others can’t disturb you during those set times. Taking a break to eat and recharge throughout the day can keep you mentally sharp and reset your creative juices. Go ahead, you deserve it.

    Block Off Time for Projects or Specific Tasks
    How granular you want to get on your calendar depends on your preference—you can either block off time each day for “Daily tasks” or for specific tasks, such as “Write first draft of Forbes article.” If you’re more creative in the mornings, use that time to be intentional about crafting a vision for your company, or taking notes from books or podcasts with ideas you want to implement. If the afternoon is when you feel most productive, set aside a chunk of time in the afternoon for task batching.

    More Tips to Get the Most Out of Your Time Blocking

    You’re on your way to taking back your time and knocking off all those backlogged items on your to-do list. So, let’s talk about a few more tips to increase your productivity with time blocking:

    • Use themes for each day to hone in your focus time even more. For example, Mondays might be for catching up on emails and responding to vendors, Tuesdays could be Content Days, Wednesdays for revenue generation and business development, etc.
    • Add some buffer time between blocks. Some tasks may take longer than others, or you may just want a bit more flexibility within your schedule. Try adding 15 minutes before and after each time block. Think of those as well-deserved breaks for being ultra-productive with your time.

    Business professionals like you know that goal setting is vital. But sometimes, the process may feel overwhelming, or perhaps it just hasn’t worked well for you in the past. Have no fear. You will find the eight helpful tips I’m sharing with you to help you meet your goals. These go beyond the basics of goal setting, like brainstorming, writing your goals down, and creating an action plan. So, let’s go!

    1. Prioritize listening. For any business professional to meet their goals, they must possess a crucial soft skill: open-mindedness. This term means you can take in information that might challenge your beliefs. You’re able to ask questions and allow others to express their opinions, even if you disagree. Closed-minded people only care about their own viewpoints, and typically, they don’t give any consideration to other ideas. Without open-mindedness as a leader, you likely will not reach your goals, so listen, remain open-minded, and model trust and cooperation.

    2. Use strategic thinking. Sadly, failing to consider issues from a different perspective is common—plus limiting and short-sighted. Strategic thinking, though, means you can analyze critical factors that affect long-term success. To improve this skill, consider the big picture and planning ahead. Then, you’re able to view your options and make more intentional decisions. Strategic thinking helps put your thoughts into action, allowing you to meet those goals.

    3. Communicate confidence. Think of confidence as an aura that accompanies you everywhere. Confidence causes people to notice when you enter a room. You turn their heads because your demeanor communicates poise and dignity. And by being self-assured, your team has a reason to look up to you. Then, they’re more inspired to work, creating a productive and trusting atmosphere that leads to high achievement.

    4. Guide your team like a coach. You may have had a favorite coach growing up. They likely guided and encouraged you rather than just barking blunt or unhelpful directions. With a coaching mindset, you’re able to communicate that you respect your employees, believe in their ability to grow, and value their contributions and actions. When correction is necessary, you help them succeed rather than making them feel bad. Effectively guiding your employees has a lot to do with your prosperity as a business owner—and it can move you in the direction of your goals.

    5. Implement proper time management. Wasted time is gone forever, and it’s one thing we can’t purchase or get more of! With this in mind, don’t spend time on tasks that won’t matter a year from now. Instead, learn to say no, budget your time, delegate, and—you guessed it—set goals. Since goals are action-based, meeting them requires proper time management. Strive to do less in a more effective manner.

    Did you know that some of the most productive people in the world swear by time blocking? Ever heard of Elon Musk, Bill Gates, Michael Hyatt, or Cal Newport? Yep – all time-blockers. They’re squeezing every drop of productivity from their days, and you can do the same.

    6. Choose what’s right over what’s popular. It’s never easy being in charge. We’ve all heard the saying: “To whom much is given, much is required.” There will be times when doing the right thing is unpopular. You’ll nearly always have someone who opposes your decisions. Though it might sting a little, remember that leading isn’t a popularity contest.     5 Ways to Help You Attain Better Work Life Balance

    Life is in continual motion. There seems to be a blur between life and work and that is especially true for an entrepreneur. Entrepreneurs, it seems, have a harder time separating work and life and home; they feel they need to be always available and always in “client search mode” as well as running the business.

    Are there secrets to attaining a work life balance? They aren’t exactly secrets, but sometimes in the hustle and bustle of life, we forget to breath and we allow our work and lifelines to coincide. Now is the time to take a step back and untangle those lines and get back to a better balance.

    It is important to find a balance that makes both life and work fulfilling and enjoyable. If you don’t, you risk burnout in both areas of your life. Keep in mind that you won’t likely notice a large sign that lets you know your life and work are out of balance. The imbalance usually happens slowly and subtly, until you get to the point where you’re not functioning well in either aspect of your life.

    Let’s explore five ways I’ve learned that will help you attain a more balanced work and life.

    1. You need to have boundaries. Even if you work from a home office you need to set office hours – this is for your clients and your family. Clients need to appreciate that you’re not on call 24-hours a day. Family needs to understand that between the hours of 9 am and 5 pm you’re working and shouldn’t be disturbed. These boundaries need to apply to your technology as well. Even if you’ve closed the literal door on your office, if you have your smart phone continually within reach, you will be distracted and tempted to check social media and emails and your work may again bleed into your home and family life.

    2. Just let it go. Being a perfectionist and trying to be everything to everyone is a recipe for disaster and burn out. If you’re feeling stressed in your personal life, you need to delve deeper into what those stressors are. The same goes for your work life; what is adding to your stress? Once you know what your stressors are, you can take steps to find those items you can simply let go of. Are there items that simply do not matter in the big picture? If so, cut them loose. The more items you can let go of (and that may mean delegating work or home tasks to others) the more balanced your life will be.

    3. What are your priorities? Just as important as knowing what your priorities are is knowing why they are important. Before you leave your office, or go to bed at night, take a few moments to plan your following day. Look back at what you’ve accomplished today and assess its impact on your work and your life. How did you spend your time? Did you spend it wisely? Were there parts of your day that lifted you up and made you smile and parts that had you shaking your head and wondering what went wrong? When you prioritize, then analyze how your priorities were met, you can better see if your day was productive and effective or if you squandered time on tasks that didn’t forward your dream of a work life balance.

    4. You need down time. Schedule time for yourself. If you’re not practicing personal care you cannot be the best version of yourself for your family or your clients. Grab time in your calendar just for you – whether you go to a spa, meditate during lunch, walk the dog, or go for coffee with a friend – you need that time in which you have no demands on your energies.

    5. “No” is powerful and is your friend! Learn to say “no” to work and life events that you simply don’t want to do, don’t have time to do, or that won’t forward your life or career goals. You don’t have to be mean about the “no.” You can say, “Thank you, but no. I just don’t have the time or bandwidth for this right now.”

Listening to this show is like having an accountability partner who truly cares about your success and achievement.
