EP 48 | AI Appeared In Your Documentation App. Now What?

You opened your documentation app this week and there it was...a new sparkle icon, a "draft with AI" button that nobody asked you about. The AI didn't wait for your permission. It moved into your workflow. So what now? In this episode, Jodie Clarke looks at the almost quiet shift happening inside Storypark, Xplor, Kinderloop, OWNA and every documentation app our sector uses (AI features arriving one update at a time) and shows you the professional skill nobody else is teaching…how to check and edit what the AI writes before your name goes on it. 🟢 You'll find out how to: 👉 Recognise what embedded AI tools actually do well, and what they can never see 👉 Spot the "plausible generalities" AI invents when your notes are thin (the AI doesn't lie, it averages) 👉 Run the Three-Question Quality Check on any AI draft in under a minute 👉 Edit an AI-drafted observation in ninety seconds so it's accurate 👉 Turn your quick notes into a strong brief using the Noticing Formula 👉 Ask the five questions every service should put to the company behind their app, in writing 👉 Apply the ‘red line’ strategy. 🟢 Resources mentioned:  The episode 48 resource page includes the Three-Question Quality Check, the five provider questions written out ready to copy, and the key learning highlights. EP 47 | How to Tell If Your AI Documentation Is Actually Good

🟣🟢 So you've probably been using AI for a few months now, maybe longer. You've got a pile of AI-assisted observations sitting in your files. But there's a question you keep circling back to - is what I'm producing actually any good? Does it still pass as authentic and high quality? Here's the thing nobody's teaching educators yet - how to check effectively. Not just "remember to check the response you get", but what that process actually looks like, or what to ask yourself step by step after using AI to help complete your planning and documentation. In this episode, I’m introducing a 30-second quality framework you can use every single time you save your AI-assisted documentation. 🖥️ Go to the episode 47 resource page to copy prompts and practise applying the 3-Question Quality Check to four realistic early childhood observations, step by step using the interactive tool I've created for you >> https://theempowerededucatoronline.com/ai quality check 🟣🟢 In this episode you'll find out how to: Spot the "AI wallpaper" - documentation that sounds professional but says nothing specific about the child Use the 3-Question Quality Check before saving any AI-assisted observation Catch details AI has invented that sound plausible but weren't witnessed Identify the telltale signs of AI voice taking over your professional writing Apply the "pickup test" to keep your educator voice and genuine knowledge of the children front and centre Run the swap test to make sure your documentation is about THIS child, not any child Link this quality practice to NQS Quality Area 1, EYLF V2.0, and MTOP 🟣🟢 Resources Mentioned in this Episode: Reference image of the 3 questions that can be downloaded from the episode resource page Interactive tool with examples to help you practise using the 3 question check https://theempowerededucatoronline.com/ai-in-early-education-podcast/#earlyeducationintheageofai #aiempowerededucator #aiforeducators #earlychildhoodeducation #eylf #aiineducation #aiforteachers 💬 Let’s Connect! 🌟 If you found this episode helpful, please share it with a fellow educator... 🎧 Subscribe & leave a review so we can reach more educators looking to save time with AI 📲 Follow me HERE on LinkedIn for more AI tips & timesavers and leadership strategies 📍Follow me on HERE on Pinterest for play ideas and environment inspiration 💻 Discover What’s Possible with AI in Early Learning... EP 46| What Families Know That You Can't Observe

Most family engagement in early childhood education flows in one direction - and it's not the direction that helps your responsive planning and programs. We send things out constantly. Photos, newsletters, daily updates, portfolios, app notifications. And then we wonder why our documentation feels thin, why QA6 is one of the hardest quality areas to get right, and why our programming doesn't always reflect the real lives of the children in our care. The answer is in what we're not asking for. In this episode, Jodie flips the direction. Instead of thinking about how to communicate to families more effectively, we explore what becomes possible when families are genuinely invited to share with us, and how AI makes the harder parts of this surprisingly easy. 🟢 In this episode you'll find out: ✨ Why family engagement has quietly become a one-way broadcasting system, and what QA6 assessors are actually looking for instead ✨ The five types of family knowledge hiding in every service (most educators are only tapping one of them) ✨ Three quick wins you can layer in this week: the Recipe Exchange, the Skills Visit, and the Two-Week Check-In ✨ Why most families who seem disengaged would actually love to contribute - if someone asked them in the right way ✨ Ready-to-use AI prompts for drafting warm, welcoming family invitations that don't sound like a formal letter ✨ How to translate any family invitation into multiple languages in seconds… and why the message it sends matters more than linguistic perfection ✨ A specific prompt for turning one piece of family input into eight programming provocations across different learning areas ✨ The FDC superpower that most family daycare educators haven't thought to use ✨ What a Family Story Wall looks like as QA6 evidence - and why it's visible before an assessor opens a single file 🟢 Resources mentioned in this episode: Copy Episode 46 Prompts on this Page 👇 https://theempowerededucatoronline.com/2026/05/podcastfamily-engagement-strategies-early-childhood-ep46.html/ 🖐️ The AI Empowered Educators Membership 👇 https://www.theempowerededucatoronline.com/ai-membership-gold-registration/ 🖥️ The Planning Cycle Reset (free video training series) 👇 https://www.theempowerededucatoronline.com/bonus-rego-future-ready-planning-series/ 📚 This Month’s Edition of the EE Professional Development Magazine - available now in the free magazine library for Tips, Tools & Secrets subscribers Open your free account here to start reading 👉 https://theempowerededucatoronline.com/tts-newsletter-library-for-educators/ 🟢 Key Learning Concepts Explored:  QA6 collaborative partnerships, family knowledge as curriculum, responsive programming from family input, AI for family communication, multilingual service communication, EYLF family engagement strategies #earlyeducationintheageofai #empowerededucator #earlychildhoodeducation #familyengagement #NQS #EYLF #aiforeducators #aiforteachers 💬 Let’s Connect! 4. EP 45| 5 Ways AI Can Help You Explain Play-Based Learning to Families

    Apr 22

EP 45| 5 Ways AI Can Help You Explain Play-Based Learning to Families

🟢 That child who has been in the sandpit for forty minutes isn’t “just playing.” They’re testing volume, comparing weight, exploring cause and effect, strengthening fine motor skills, practising social negotiation, and regulating their body - all before morning tea. But when a parent asks, “What did they learn today?” it can be hard to find the right words quickly. Most educators already understand that play is learning. The tricky part is explaining that learning clearly, warmly, and confidently to families - especially at pick-up time, when you’re tired, busy, and juggling ten other things. In this episode of Early Education in the Age of AI, Jodie shares five everyday play scenarios every early childhood educator will recognise and shows how AI can help you turn quick observations into simple, parent-friendly language. You’ll hear how to move beyond “they had a great day playing” and instead explain the real learning happening through sandpit play, block play, water play, watching, transporting, positioning, and more. You’ll also learn a simple two-step AI prompt workflow that helps you translate what you noticed into warm, meaningful family communication - without sounding robotic, overly formal, or full of jargon. 🟢 In this episode, you’ll learn: ✅ 5 common play scenarios decoded through the lens of child development and play schemas ✅ What positioning, transporting, and trajectory schemas can look like in everyday play ✅ Simple sentences you can use when families ask, “What did they learn today?” ✅ How to use AI to turn a quick 20-second observation into parent-friendly language ✅ Why the child who “just watches” may be doing some of the deepest thinking in the room ✅ How stronger observations lead to better AI-supported responses ✅ Why AI does not replace your professional judgement - it helps you explain what your professional eye already sees Resources mentioned 🟢 AI Empowered Educators Membership Explore playful planning and communication SmartForms, including the Junk to Gem Idea Generator, Playful Learning Planner, Tricky Email Writer, and more. 👀 Not a member yet? EP 44| The Third Teacher - Is Your Room Still Talking?

🟢 Your learning environment is teaching children something right now. The question is whether you know what it's saying. If you set up your room at the start of the year and haven't made meaningful changes since, it might be telling children a story you didn't intend. In this episode, Jodie makes Loris Malaguzzi's concept of the "third teacher" genuinely practical… no theory, no philosophy, just specific things you can look at, change, and improve starting tomorrow morning. 🟢 What you'll walk away with: 🎧 A Five-Minute Room Audit you can run before the children arrive - including the Doorway Test and five reflective questions that cut through familiarity blindness 🎧 Three autumn environment refresh ideas you can set up this week with almost no budget (the nature basket swap, the cosy corner, and the light table revival) 🎧 A clear explanation of the difference between invitations and directions - and why it affects both children's learning and your documentation 🎧 Three specific AI prompts for brainstorming provocations, writing environment rationales for assessment, and helping parents design home learning spaces 🎧 A new way of seeing how environment design supports children's self-regulation (and reduces reactive behaviour management) 🎧 Why a documentation drought is often an environment problem in disguise, and how to fix the root cause 🟢 Who this episode is for:  Centre-based educators, family day care, preschool, OSHC, educational leaders, and parents or carers setting up learning spaces at home. The principles work regardless of the size of your space. 🟢 Learning Concepts Highlighted:  Malaguzzi's third teacher, familiarity blindness, the Doorway Test, the five-question room audit, invitations vs directions spectrum, environment as regulation, AI as a thinking partner for intentional design. 🟢 Resources mentioned: 💡 The AI Empowered Educators Membership - environment planning SmartForms plus on demand access to Eden Environments, the AI Assistant trained across centre, FDC, preschool, homeschool, and OSHC settings > https://www.theempowerededucatoronline.com/ai-membership-gold-registration/ 💡 The Episode 44 Resource Page Here (with the AI prompts ready to copy and paste into an ai tool) https://theempowerededucatoronline.com/2026/04/ep-44-third-teacher-learning-environment-audit.html/ 💡 Referenced from EP 43 - the Three Layers Framework for inclusive cultural programming 💡 Coming in EP 45 - decoding what children are actually learning when they "just look like they're playing" 🟢 Try an AI strategy this week:  Describe your room in three or four sentences. Ask AI for five provocation ideas based on children's current interests. Filter the suggestions through what you know about your space and your children. Keep what works. 🖐️If this episode helped, a quick review on your podcast app makes a real difference to other educators finding the show. #earlyeducationintheageofai #empowerededucator #thirdteacher #learningenvironments #earlychildhood #intentionalteaching #reggioinspired 💬 Let’s Connect! EP 43 | Beyond the Bunny - A Framework for Inclusive Cultural Programming

🐰 If you've ever stood in your storeroom the week before Easter staring at a bag of cotton balls and a stack of pre-cut bunny templates thinking "there has to be something better than this", then this episode is going to change how you approach every cultural moment on your planning calendar from here on in. I’m introducing you to the Empowered Educator Three Layers Framework - a simple, repeatable approach to inclusive seasonal programming that works for Easter, Ramadan, NAIDOC Week, Lunar New Year, Christmas, and every other cultural moment that lands on your calendar. No more defaulting to token crafts or avoiding celebrations altogether. 🟢 In This Episode, You'll Find Out: How to identify the universal human experience underneath any cultural event - and why that's your inclusive starting point A clear framework (Universal → Invited → Extended) that removes the guesswork from cultural programming Why both the "token craft" trap and the "avoidance" trap fail children and families Three ready-to-use play provocations - Nest Investigation, Autumn Harvest Kitchen, and Gift Making Workshop, that work across age groups and settings How to invite family input without making assumptions about cultural backgrounds Where AI genuinely helps in this kind of planning (and where it doesn't) Specific AI prompts to copy for brainstorming inclusive experiences, extending children's interests, and translating observations into parent-friendly language Why the quality of your observation is what makes AI output actually useful 🟢 Resources Mentioned: FREE Training - Planning Cycle Resetvideo series  AI Empowered Educators membership - SmartForms including Pippa the Planner The Empowered Educator website  Episode 43 Resource Page with notes, learning highlights, prompts to copy and much more! 🟢 Core Learning Topics Discussed:  Three Layers Framework, inclusive programming, responsive planning, cultural diversity in early childhood, seasonal provocations, family partnerships, AI-assisted planning and documentation 🟢 Connect and Keep Learning… If this episode helped you rethink how you approach cultural moments in your programming, share it with a fellow educator who might need to hear it too. 🟢 What if you could hand your policy manual, your observation notes, and the Early Years Learning Framework to a research assistant who'd read every single word… and then just answer your questions? That's exactly what NotebookLM does. And it only knows what you give it. In this episode, Jodie introduces you to NotebookLM - a free AI tool from Google that works completely differently from ChatGPT or Gemini. Instead of pulling answers from the entire internet, NotebookLM reads only the documents you upload and answers from those sources alone. No hallucinations. No generic primary school only focused suggestions. Just relevant, framework-aligned responses based on your own content. 🟢 In this episode, you'll find out how to: Set up NotebookLM for free and create your first notebook in minutesTurn rough sticky-note observations into professionally written, framework-linked anecdotal documentationUse specific prompts that produce engaging, accurate observation drafts - not generic AI outputUpload your policy manual and ask it questions in everyday language (directors, this one's for you)Plan mixed-age experiences for family daycare using uploaded frameworks and your own preferred programming templatesUse NotebookLM as a study partner for Certificate III, Diploma, or Bachelor studentsUnderstand why document-grounded AI is safer and more useful for our sector than general AI toolsApply the Three Question Quality Check to every AI-assisted draft you produce 💡 Visit This Episodes Resource Page 🟢 Other Resources mentioned in this episode: ✨ Google NotebookLM  ✨ The Planning Cycle Reset - free 3-part video series  ✨ The AI Empowered Educators Membership  ✨ The Empowered Educator Facebook Group 💬 Let’s Connect! Mar 20

EP 41 | Your Team Is Already Using AI... Now What?

🟢 Most early childhood teams are already using AI - without guidelines, training, support or policy. And the most experienced person on the team is often the one with the most to say about it. She had eighteen years of experience, three commendations from assessment and rating, and a reputation as the best documenter in the service. When her director mentioned AI, she said: "That's cheating."  Sound familiar? In this episode, I'm telling you a story - the story of Sarah, a composite of real educators I've spoken with across dozens of training sessions. Sarah's journey from arms-crossed resistance to becoming her team's most trusted AI voice isn't magic. It's the result of a leader who listened before she prescribed, and a process that honoured professional expertise instead of threatening it. 🟢 In this episode, you'll find out: Why resistance to AI is a symptom, not the problem - and how to identify the three root causes driving it in your teamThe most common mistake leaders make when introducing AI (and the one conversation that actually shifts sceptics)Why your most experienced educator - not your most tech-savvy one, should trial AI firstWhat unsupported AI use actually looks like in practice (and why it's the real quality risk in your ECE service right now)A side-by-side comparison exercise you can run at your next team meeting to shift attitudes faster than any presentationHow to set quality standards before you set AI rules - and why this reframe changes things 🟢 Key professional development topics covered:  AI resistance in early childhood teams, leading change in ECE, professional identity and AI, documentation quality standards, unsupported AI use risks, vulnerability-first leadership, the calculator analogy for AI in education 👇 Resources and links mentioned in this episode: 🟢 Episode 41 Resource Page 🟢 Free Planning Cycle Reset video series  🟢 AI-Ready Leader Accreditation (founding member waitlist now open - only 20 spots available first round)  🟢 Join other AI Empowered Educators members here If this episode resonated with you, I'd love to hear your story.
