The Waitlist System: Buckets, the Dressed Promise, the Board, and the Sweep

The schedule has a hole in it. Now what? Maya and Reese build the waitlist system that actually works for a veterinary front desk: how to bucket the list so the right pet gets the call, the dressed promise (what to say so clients actually call back), the board where the list lives so the next shift can see it, and the twice-daily sweep that keeps the whole thing honest. Word-for-word scripts included, plus what to never say on a waitlist call. Also in this episode: cat visits are growing for the third straight year, and the desk move that keeps kittens from disappearing off your schedule. Technicians say they are ready for more, and owners say they are open to it. Two comments from the Facebook page that every front desk will recognize, notepad scribbles and all. Try the dressed promise on your next fully booked day and tell us how it went in the Facebook comments. TheVetCSR Weekend Edition: The Late Pickup, the Wrapped Paw, and the Sunday Discharge Wave

Sunday at the front desk is the day of endings. First file: the late boarding pickup. Marcus is stuck in traffic, pickup by close is not happening, and his corgi mix Waffles has medication due that night. Why the plan has to come from the boarding agreement and the authorization on file, not from whoever is closest. Second file: a walk-in with a torn nail wrapped in a kitchen towel. How the desk receives it, what the team needs to know, and the words that keep the lobby calm. Then the deep dive: the Sunday discharge wave. The 4 to 6 PM rush of pickups, meds, and instructions, run like a system instead of a scramble. Plus real vet news: the Vet Tech Week photo that started an argument, and what is actually inside those supplement bottles. New episodes every weekday from The Veterinary Receptionist, the page and shop for the people who run the front desk. The Late Arrival, the Bleeding Toenail, and the 7-Step Surgery Drop-Off

Thursday at the front desk, and day five of Vet Tech Week. First file: the client who arrives 25 minutes late, already apologizing. What to say (warm first, facts second), the two real options, and the no-shame rebook. Second file: a walk-in with a bleeding toenail and a full lobby. Your face is the triage, and the window is not the treatment room. Then the deep dive: the surgery drop-off handoff. Seven steps, same order every time, so clients can hand over their dog and actually breathe in the parking lot. Plus today's real vet news: the Wedgewood compounded medication recall and the exact front desk line for when clients call about it, and a brand new veterinary school that just got its letter of assurance. Midweek at the front desk: the 'oh, while we're here' cascade and how to run it without losing the schedule, the wrong-pet check-in and the two questions that catch it, and the repeat-back at meds checkout that catches mistakes before they walk out the door. Plus the vet news beat: what pet owners quietly worry about on cost, and a new FDA approval with a dogs-only warning worth knowing. Welcome to my front desk rodeo.
