157 - Wedding Planner vs. Day of Coordinator: Which One Do You Actually Need?

Wedding planner, wedding coordinator, day of coordinator, venue coordinator. Do you need one? All of them? None of them? This week I saw a bride on Reddit ask someone to explain it to her like she's five, and over 20 people answered. A lot of them were wedding pros, and almost every answer was different. So if you're confused, it's not you. Even our industry can't agree on this one. In this episode, I'm refreshing one of my classic topics. I walk through each type of planning help, what it really includes, when to book, and how to figure out which one fits your wedding. I also share the story of a couple who booked their venue first and ended up losing their band budget because of it, and why I always recommend booking your planner before anything else. In this episode: The Reddit post that started it all: "Explain this to me like I'm five"Two different problems: "we're going to miss something" vs. "we don't want to be in charge of the day"What a wedding planner actually does (sorry, J.Lo)The two big hesitations: cost and giving up controlWhy the titles are so confusing, and why I still call it day of coordinationMy number one tip: don't shop by titleFull service planning, and why you still get to do the fun partsWhy you should book your planner before your venue (and the band budget story)Day of coordination: what really happens before the wedding dayWhen to book a day of coordinatorPartial planning, and what I'd tell the bride from that Reddit postVenue coordinator vs. independent plannerPlanning it yourself, with a roadmapFour questions to ask yourselves before you hire anyoneThe "explain it like I'm five" recap Mentioned in this episode: Free Wedding Planning Happy Hour, Wednesday, October 21 at 6pm EST: planningcollective.com/happyhourThe Wedding Planning Blueprint: the Planning Path, Pocket Planner, and Ask Kate (add Blueprint link)Read the blog post: How To Tell If You ACTUALLY Need A Wedding PlannerMore on day of coordination: What Is Day of Coordination? 156 - 2027 & 2028 Wedding Trends: What's Worth It on a Real Budget

Every fall the wedding trend lists start rolling out, and every fall I watch couples start to feel like their wedding is out of date before they've booked a single vendor. So this year I'm doing things a little differently. In this episode, I'm walking you through eight wedding trends for 2027 and 2028, what the data from The Knot, Pinterest, and Zola actually says, and most importantly, how each one can work for a real wedding on a real budget. Because some trends are worth the splurge, some are an easy, inexpensive add, and some are going to make you say "why did we do that?" when you look back at your photos. In this episode: Trend 1: Something Old Is the New Something New (and why a family audit beats a vintage shopping spree)Trend 2: Your colors don't have to match anymoreTrend 3: The room is the decorTrend 4: Think Italian summer, not a theme partyTrend 5: Flowers with focus (hello, hydrangeas)Trend 6: Guest experience starts with the basicsTrend 7: Photos that feel real and cinematicTrend 8: Your wedding, your rulesPlus my one bonus prediction about how couples are getting planning help Vendors I mentioned: Simply Brilliant Events (Nicola's stunning sage and lavender palette) and Kristina's Catering (interactive food done right). Both are on Instagram. Want help making these trends work for YOUR wedding? Join me for my free Wedding Planning Happy Hour on October 21 at 6 PM ET. 154 - Wedding Day Expectations: How to Plan Without Expecting Perfection

You’ve spent months planning your wedding, but what happens when the actual wedding doesn’t look exactly like the one you’ve been imagining? In this episode of the Wedding Planning Collective Podcast, I’m talking about wedding day expectations and the difference between planning intentionally for the things that matter to you and expecting every moment to happen exactly according to plan. Because I absolutely want you to care about the details. Make the timeline. Have the rain plan. Tell your officiant to move before the first kiss. But preparation gives you the best chance of getting what you want—it doesn’t guarantee an outcome. We’re talking about: • The difference between a wedding day preference and an expectation you’ve turned into a requirement • What you should reasonably expect from the vendors you’ve hired • How TikTok, Instagram and Pinterest can create an invisible checklist for your wedding day • How to decide whether a wedding day problem actually needs your attention • Why your wedding priorities still matter once the wedding day arrives • Giving yourself permission to change the plan, even when nothing has gone wrong The big takeaway: Plan for the wedding you want, but leave some room for the wedding you actually have. Because at some point, you have to stop planning the wedding and start experiencing it. FREE WEDDING PLANNING HAPPY HOUR Join me September 23 at 6 p.m. ET for “What Are You Forgetting? 10 Wedding Details You Probably Haven’t Thought About Yet.” I’ll walk you through 10 easy-to-miss wedding details I see couples overlook all the time, followed by live wedding planning Q&A. 153 - Your Wedding Weather Plan: What to Prepare for (and What to Stop Stressing About)

If you’re planning an outdoor wedding, at some point you’re probably going to start obsessively checking the weather app. But here’s the thing: luck CANNOT be your weather plan. The goal isn’t to figure out how to make sure it doesn’t rain. It’s to know exactly what you’re going to do if it does. In this episode, I’m breaking down how to create a wedding weather plan before you’re staring at a forecast full of tiny thunderstorm icons. We’re talking about: • The questions to ask before booking an outdoor wedding venue • Why you need to actually be okay with your Plan B • Rain, heat, wind, humidity, lightning and wet ground • Tents, heaters, fans, umbrellas and other weather rentals • How to protect your photos, décor, flowers and guest experience • When the wedding forecast actually becomes useful • How and when to make the final weather call • And what to do when the wedding you pictured for 18 months suddenly has to change Because a good wedding weather plan isn’t about predicting the weather. It’s about making sure the weather doesn’t get to decide whether you have a good wedding. And if you’re listening to this thinking, "Wait...I didn’t even know I was supposed to have a weather plan for half of this stuff", don't stress! That's what the Planning Collective Blueprint is for. It’s there to help with all the wedding planning things you don’t know you need to know yet, with my planning steps, tools and templates, access to me for support, and an AI Pocket Planner that pulls from my wedding planning content when you need a quick answer along the way.

152 - What to Do If You Only Have One Hour to Plan Your Wedding

If you finally find an hour to work on your wedding this week, how do you make sure you actually get something DONE? Because there’s a big difference between spending an hour thinking about your wedding and spending an hour actually moving it forward. In this episode, I’m breaking down exactly how I’d spend one focused hour on wedding planning. From figuring out what actually deserves your attention right now to making one decision, moving a vendor conversation forward, getting organized, and even stepping away from the logistics for a few minutes. We’ll also talk about the wedding planning “tasks” that can easily eat up your entire free afternoon without actually accomplishing much. (Looking at you, aimless Pinterest scrolling.) Whether you just got engaged, you're somewhere in the messy middle, or you're a couple months away from the wedding, you can adapt this one-hour framework to where you are in the planning process. And if wedding day timelines are currently on your list, join me for the FREE Wedding Planning Happy Hour: Wedding Day Timelines on August 26 at 6pm ET. 150 - 7 Wedding Planning Conversations That Will Save You Stress (and Money)

What if the easiest way to reduce wedding planning stress wasn't another checklist, but one conversation? Actually...seven conversations. After planning hundreds of weddings, I've noticed something: the couples who seem the most confident and organized aren't necessarily doing more. They simply take the time to have a few important conversations before they start making hundreds of wedding decisions. In this episode, I'm sharing the seven conversations I wish every engaged couple would have before booking vendors, setting a budget, or falling down the Pinterest rabbit hole. We'll talk about: • Who you're really planning your wedding for • How to identify your biggest wedding priorities • Why guest count is one of the most important decisions you'll make • How to define the feeling you want your wedding day to have • How to make budget decisions before emotions take over • Creating wedding planning non-negotiables together • Building a decision-making system that makes planning easier These conversations don't just make wedding planning less stressful, they help you make faster decisions, stay closer to your budget, and spend less time second-guessing yourself.
