What Happens When Your Front Desk Says the Opposite of Your Policy?

Tourism businesses spend real effort on sustainability policies, certification and audit documentation. Yet when a guest or an auditor asks a simple question, the answer often depends on who happens to be asked. This episode looks at why that gap appears, and why it rarely comes from bad intentions. Samantha walks through three causes: a policy that lives in the wrong place, staff who learn from each other rather than from documents, and seasonal turnover. You’ll hear how it plays out at a lodge, where the towel card, the receptionist and the housekeeper each say something different. You’ll also hear how it plays out on a tour, where the office promises refillable bottles and the guide hands over a box of small plastic ones. Along the way she explains how guests read mixed messages (and why that connects to the greenwashing rules in Europe), how to test your own team with a simple experiment, and what to make of it when everyone gives the same wrong answer. The fix she offers is deliberately small: a one-page sustainability FAQ sheet, written together with your team, with permission to say “let me find out.” It is shared in several places so staff can reach it without asking. If you run an accommodation or a tour operation, ask three people one question this week and see how close the answers are. Connect with Samantha Smits on LinkedIn or her website. What Local Really Means on Your Supplier Invoices

Almost every accommodation and tour operator owner will tell you they buy local. Far fewer have ever counted it, and certification auditors will ask for a number, not a feeling. In this solo episode, Samantha explains why 'local' means nothing until you attach a distance to it. She covers the GSTC-style range of roughly 50 to 400 kilometres and the first-cycle expectation that about a quarter of your spend goes to suppliers inside that distance. You’ll hear how to count your own local share using last month’s invoices or purchase book, and why a low first number is normal rather than a failure. Along the way, she looks at where owners get caught: the difference between a supplier who is local and a product that is actually grown or made locally. The examples run from a lodge’s morning tomatoes to a safari lunchbox. The episode closes with practical first steps for when your number comes in lower than you hoped. Minimum Wage vs. Living Wage: Your Auditor Knows the Difference. Are You Paying for Compliance or for Sustainability?

Most tourism businesses assume that paying the legal minimum wage means the pay question is settled. In this episode, Samantha explains why sustainability certifications often look beyond that number, and why a legal minimum and a living wage can be two very different things in the destinations where tourism operates. You’ll hear what a living wage actually has to cover, from rent and food to transport and emergencies. You’ll also hear why pay that looks fair next to competitors may never have been checked against real living costs, and how relying on tips can hide the gap for guides. And you’ll hear what a realistic first step looks like. Samantha ties this back to the social side of sustainability. She argues that a business can’t call itself sustainable if its employees are unhappy, and that when people’s quality of life improves, their quality of work does too. She also shares what she saw on the trail while climbing Kilimanjaro, where the gap between legal minimum and living wage was visible in what the porters were wearing and carrying. Your Guests Are Already Auditing You, and They're Doing It in Public

Tourism businesses collect more guest opinions than ever, yet most treat reviews as a task to answer politely and move on. This episode looks at what gets lost when that happens. You’ll hear how the things guests write about, such as cleanliness, staff behaviour, and whether your claims match their experience, are the same categories a sustainability audit looks at. The episode covers examples for both lodges and tour operators: lights and air conditioning left on, daily towel changes, idling engines, guides compared against each other, and community visits that feel like a sales stop. It also covers why Travelife’s tour operator criteria expect a system for gathering and acting on customer feedback, not just a reply on an external platform. Together, these points show why a public review can be some of the most direct outside evidence a business has, and why a single early complaint is better treated as a gift than a threat.  Connect with Samantha Smits on LinkedIn or her website. Do You Still Have The Sustainability Sign Guests Stopped Seeing Years Ago?

Nearly every bathroom in the accommodation industry carries the same small card asking guests to reuse their towels. For most guests, it has quietly become wallpaper, and for many properties, it is the only sustainability message a guest ever sees during their stay. In this episode, Samantha explores what happens when your most visible sustainability communication goes unnoticed, and why guests may assume you're doing nothing even when you're doing a lot behind the scenes. Samantha also shares a shower-wall note in Cape Town that she still remembers years later, and looks at how to make a message feel like it came from a real person, tied to a real place. She covers how tour operators can repeat key messages across several touchpoints, and offers a short tour of nudging ideas, including rewards and gamification. The common thread here is specificity. How Much Did Your Team Forget This Year? Find Out What Knowledge Walks Out the Door Every High Season.

Every high season, tourism businesses relearn the same lesson: brand standards, guest-complaint scripts, vehicle checks, housekeeping routines, all explained again to a new crop of seasonal staff, because the people who knew it last year are already gone. It's treated as an unavoidable cost of seasonal work, but it's actually a documentation gap hiding in plain sight. In this episode, Samantha unpacks why that gap matters more for sustainability specifically. No two operators define sustainability the same way so how a complaint gets handled will have to live somewhere other than one manager's memory. She walks through what this looks like for an accommodation's housekeeping turnover and for a tour operator managing freelance drivers, and reframes the fix. Knowledge was never lost because it was hard to learn; it was lost because it was never captured outside one person's head. That single-point-of-failure risk is exactly what auditors probe under the labour and training section of any sustainability certification. Connect with Samantha Smits on LinkedIn or her website. What Does a Real Sustainability System Actually Look Like? Most Businesses Never Find Out.

Tourism businesses chasing Green Key, Travelife, or Fair Trade Tourism certification keep running into the same term in their audit checklists, 'sustainability management system', without ever getting a plain-language answer for what it actually means. This puts them at a disadvantage next to competitors who've quietly built one already. In this episode, Samantha breaks the term down into four concrete habits: a written policy, tracked KPIs, a named coordinator, and a regular review cycle. She shows why none of these require software, a big budget, or a full-time hire to get started. The real insight is that most listeners have already been building this system piece by piece across previous episodes without realizing it. That's the shift this episode makes explicit: sustainability stops being a source of guilt or overwhelm the moment it becomes a habit instead of a task list. Stick around for the accommodation and tour operator side-by-side examples that show this system in action. And in the show notes, a case study of an operator who used exactly this approach to get certified and triple their business. Connect with Samantha Smits on LinkedIn or her website. The Hidden Audit Risk Hiding in Your AI-Generated Reports

More and more tourism businesses pursuing Travelife, Green Key, or GSTC certification are reaching for AI tools to draft their sustainability policies and reports. On the surface, it looks like a shortcut everyone else is already taking. But a new failure pattern is showing up in audits: confident, well-written documents built on claims nobody actually verified. In this episode, you'll learn why using your certification body's own checklist is still the right move, and the specific habit highlighting every factual claim and asking 'do I actually know this, or does it just sound true'. That is what catches most of these problems before an auditor ever does. The throughline is simple but easy to miss under deadline pressure. AI can help you write faster, but it can't tell you what's actually true about your business. Treating a generated claim as fact instead of a first draft is exactly what turns a time-saving tool into a bigger time cost and a credibility risk down the line. Two scenarios walk through exactly how this plays out on the ground. Both show precisely where an auditor's questions expose the gap and what to do instead.
