The 20-Minute Exercise Every Coach Should Do Twice a Year

Celebrate your wins as a health coach?  I tell every coach to, and I'm embarrassed to admit I hardly ever do.  We launched a client app after a year and a half of work, hit our goals, and I was already on to the next thing. The fix is a 20-minute reflection exercise any wellness coach can run with pen and paper, every six months: ten minutes writing down every win and obstacle, ten minutes dreaming. Call it personal growth for your coaching business.  No spreadsheet, no metrics, and it is not goal setting. WHAT YOU'LL DISCOVER - Why it pays to celebrate small wins: your fifth client, the offer you released before it scaled, and how each one is proof of progress - You are not behind: what the highlight reel leaves out, and why measuring your point B against someone else's point D tells you nothing about your coaching business - The 20-minute reflection exercise, step by step: ten minutes on every win and obstacle of the last six months, then ten minutes on the dreaming project, and why this is not goal setting - How a setback turns into a win: the email spam folder we had to claw our way out of, and the imposter syndrome that lifted once six months of work was on paper - Why the work is real work before it turns a profit, how the list releases the guilt of protecting your time, and why the best ideas show up in rest and reflection TIMESTAMPS 0:00 Why Coaches Feel Like an Imposter 0:13 The Win I Almost Forgot to Celebrate 1:18 Why Celebrating Small Wins Rebuilds Your Confidence 2:40 You're Not Behind: The Highlight Reel Trap 4:53 The 20-Minute Reflection Exercise (Every 6 Months) 5:51 First 10 Minutes: Write Every Win & Obstacle 6:57 Second 10 Minutes: The Dreaming Project for Future Goals 9:11 The Spam Folder Setback That Became a Win 10:06 Why Rest & Reflection Is Real Work 15:07 Share This & Leave a Review MEMORABLE QUOTE "I intentionally write it down because our brain processes information differently when we are writing versus when we are typing." - Valerie Feghali THE WELLNESS VAULT - done-for-you content, programs and tools for health and wellness coaches.  Start your 7-day free trial: https://wellnessvault.com/ Watch this episode on YouTube: https://youtu.be/NIfiCsWIQDw CONNECT Instagram: https://www.instagram.com/v.feghali/ YouTube: https://www.youtube.com/@ValerieFeghali Enjoying Fuel The Flow?  Leave a rating and review on Apple Podcasts or Spotify - it genuinely helps more coaches find the show. How Wellness Coaches Get More Done in Fewer Hours

Productivity for health coaches is not about doing more. For years I gave my best morning hours to email and called it productive, while the needle movers waited. Wellness coaches who get more done in fewer hours run three things a day, time blocked in their best hours, batch their content, and schedule the rest around what cannot move. ✨ WHAT YOU'LL DISCOVER - Busy vs productive: why clearing your inbox feels productive and moves nothing, and what productive really means (a date night counts; the inbox does not) - Needle movers: how to pick the tasks that grow the membership, the sales page, and the workshop, and why the shampoo order gets done anyway without your best hours - The 3-task rule and your best hours: keep the daily to-do list to three things at most, and put your hardest creative work in the hours you have the most energy - Time blocking with a timer: the 8:30 to 10:30 block, and why three podcasts still got recorded on an under-the-weather morning instead of slipping a week - Batching and the four quadrants: record three podcasts or write a month of newsletters in one sitting, then sort the week into needle movers, nice-to-haves, fixed must-dos, and filler ⏱️ CHAPTERS 00:00 - Busy vs Productive: The Productivity Hack Wellness Coaches Miss 01:17 - Why Being Busy Is Not Being Productive for Health Coaches 01:56 - What Real Productivity Means for Wellness Coaches 02:45 - Needle Movers Explained: Grow The Wellness Vault Faster 03:46 - Peak Energy Hours: When Health Coaches Do Deep Work 04:25 - The 3-Task Rule: Only 3 Needle Movers Per Day 05:40 - Why I Time Block Morning Hours for Sales Pages and Workshops 07:05 - Time Blocking for Productivity: Schedule Your Hardest Tasks First 08:32 - Batching Tasks: How to Record 3 Podcasts at Once 09:24 - Batching Content for Health Coaches: Newsletters and Reels 10:21 - The 4-Quadrant Productivity System for Wellness Coaches 10:54 - Quadrant 2 vs Quadrant 3: Nice-to-Haves vs Must-Dos 11:43 - Quadrant 4: Low-Value Tasks That Can Wait 12:22 - How to Prioritize Needle Movers Around Real Life 13:09 - Final Take: Productivity System to Reclaim Time ⭐ MEMORABLE QUOTE "Being busy and being productive are two completely separate things." (1:14)  Valerie Feghali, Fuel The Flow Podcast 🔥 KEY THEMES & CONCEPTS - Productivity for health coaches: busy is not productive - Needle movers and the three-task daily list - Best hours: creative work when your energy is highest - Time blocking with a timer on the days you do not feel like it - Batching podcasts, newsletters, and reels - The four quadrants: needle movers, nice-to-haves, fixed must-dos, filler - Free time as the point: kids, friends, spouse Watch the episode on YouTube: https://youtu.be/5GW0UG_6-I8 #HealthCoach #WellnessCoach #FuelTheFlowPodcast #HealthCoachBusiness #CoachingBusiness #WellnessBusiness #TimeBlocking #NeedleMovers #BatchYourContent #CoachProductivity 👇 YOUR ALL-IN-ONE CONTENT HUB 👇 Juggling meal plans, guides, and social content?  Wellness Vault is your ultimate solution. My Launch Broke Live: How I Used the LOOK Method

A launch debrief for health coaches, built from my own: the app's core feature broke for eight hours during the final-day demo, and many of the wellness coaches in it still became members. The LOOK method is four questions you answer yourself after any launch, workshop, or challenge: look back, own what was in your control, outline what worked, keep one change. ✨ WHAT YOU'LL DISCOVER - Look back: separate the outcome from the experience, and why a conversion rate below target does not make the bootcamp a bad one - Own it: what was in your control, what was not, and who is responsible for which number when you have an ads manager and a live show-up rate - Outline: interrogate the win as hard as the loss, from the right audience to the promised result to the gap your program fills - Keep: change one or two things, never rework the whole formula, or you will not know what worked next time - Why membership revenue meant one broken pitch could not touch the business, and the rule that came out of it: no new features mid-launch ⏱️ CHAPTERS 00:00 - My 5-Day Bootcamp Launch Broke During the Live Pitch 01:07 - What Went Wrong on the Last Day (Wellness Vault Demo) 02:48 - The Big Mistake: Pushing a New Feature Mid-Launch 03:57 - Food Log Glitch Live: When Your Core Feature Breaks for 8 Hours 05:01 - Why Membership Revenue Saved My Product Launch Strategy 06:22 - The LOOK Method: My 4-Step Launch Debrief Framework for Health Coaches | L = Look Back: Separate Launch Outcome From Experience 08:31 - O = Own What's In Your Control vs Out of Your Control 10:54 - O = Outline What Worked and What Didn't (And Why) 11:52 - K = Keep: What to Keep and What to Change Next Time 12:21 - My Next Fix: Cutting a 5-Day Challenge to 3 Days 13:21 - How Health Coaches Can Use the LOOK Method After Any Launch ⭐ MEMORABLE QUOTE "We change 1 or 2 things at a time, so that we have a clear understanding of whether or not that change was more or less successful." (13:14)  Valerie Feghali, Fuel The Flow Podcast 🔥 KEY THEMES & CONCEPTS - Launch debrief for health coaches: the LOOK method - Separating the outcome from the experience - Owning what is in your control and assigning responsibility - Outlining what worked and why it worked - Changing one or two things at a time, never the whole formula - Membership and recurring revenue as the launch safety net - Never pushing a new feature in the middle of a launch #HealthCoach #WellnessCoach #FuelTheFlowPodcast #LaunchDebrief #LOOKMethod #HealthCoachBusiness #CoachingBusiness #CoachingLaunch #RecurringRevenue #WellnessBusiness 👇 YOUR ALL-IN-ONE CONTENT HUB 👇 Juggling meal plans, guides, and social content?  Wellness Vault is your ultimate solution.  Start your 7-day free trial → https://wellnessvault.com/ 💬 Enjoying the show? 7 Learned Habits of Wellness Coaches Who Scale

The health coaches who scale their business are not more talented than you. They run on seven learned habits, and none of them is innate. Take quick action before it is perfect, ask for feedback, protect your calendar, invest before you feel ready, get in bigger rooms, and know your numbers. Real examples throughout: an offer that got sunset, a newsletter that took six years to pay off, and a workshop with one sign-up that was actually a win. WHAT YOU'LL DISCOVER - Why perfectionism keeps your offer hidden, and when to sunset something that no longer serves the goal - How to ask clients for feedback without the awkwardness, and why you only act on the common thread across ten surveys - How a weekly newsletter that moved nothing for years became a bottom-line driver after six years of reps - Say no to the course that does not serve the goal, say yes to the mastermind that does, even before you feel ready - Why 20 attendees and one sign-up is a 5% conversion rate, not a failed workshop TIMESTAMPS 00:00 - Intro: 7 Habits of Highly Successful Health Coaches (Why Most Stay Stuck) 01:00 - Habit 1: Take Quick Action - How Successful Health Coaches Stop Perfectionism 03:09 - Habit 2: Ask For Feedback - How Wellness Coaches Strengthen Offers Faster 05:09 - Habit 3: Commitment and Consistency - The Daily Habit That Scales Coaching Businesses 07:00 - Habit 4: Protect Your Focus - How Successful Coaches Say No to Scale 08:21 - Habit 5: Invest Before You're Ready - Why Health Coaches Must Bet on Themselves 10:16 - Habit 6: Get In High-Level Rooms - Expand Your Thinking to Grow Your Business 12:40 - Habit 7: Know Your Numbers - The Business Metric Health Coaches Ignore 13:52 - Final Takeaway: These Are Learned Skills - How to Apply Them This Week MEMORABLE QUOTE "I would only know how to get better at that after having put in the reps." - Valerie Feghali THE WELLNESS VAULT - done-for-you content, programs and tools for health and wellness coaches. What's Working for Coaches in 2026 and 2027

Most health and wellness coaches think their program needs more content. It does not. Clients do not quit because you gave them too little information, they quit because there was no experience built around it. Information is easy to get now, so adding more modules only overwhelms people and pushes them away. What keeps clients showing up is community, habits they can actually track, and being in the room with you while the work gets done. WHAT YOU'LL DISCOVER - Why adding more content dilutes your program and pushes clients away - How to build a community your clients show up for, starting with knowing who is actually in the room - The specific-question shift that turns a silent group into real engagement - Why small trackable habits beat big goals, and how quick wins keep clients moving - How to run done-with-you sessions like live meal preps and pantry clean-outs, and where a premium price fits TIMESTAMPS 0:00 Why your course isn't working, it's not the content 1:23 Information is easy now, experience is the edge 2:17 Build a community your clients show up for 4:07 Run events and take community off social media 6:57 Ask specific questions that spark engagement 8:23 Recognize wins and meet clients offline 10:39 Build daily habits and rituals that stick 14:19 Done-with-you programs that scale 16:30 The takeaway: simplify and add experience MEMORABLE QUOTE "It's not your content. That's the problem. It's the method. People want experience." - Valerie Feghali THE WELLNESS VAULT - done-for-you content, programs and tools for health and wellness coaches. AI for Health Coaches: Set It Up So It Sounds Like You

Most coaches type a quick prompt into a blank chat, get back something that sounds like a robot wrote it, and decide AI just isn't for them.  Valerie sees the mistake differently:  You never told it who you are.  She walks through exactly how her business runs on AI day to day, and it saves her team up to ten hours a week each, without ever letting it replace the human on the other end. The core idea is to stop starting from scratch.  Instead of a blank chat, Valerie builds departments the way she'd build a team: a marketing department, a podcast department, a finance department, each one a project loaded with the offers, pricing, client avatar, brand voice and best examples a real employee would need to do the job well.  Then she shows the smaller moves that make it work, from having AI interview her to pull out stories, to a skill that reads her live calls back to her and tells her which questions she answered badly. TIMESTAMPS (0:00) The real reason your AI output sounds robotic, and the work it should be taking off your plate (1:24) Ten hours a week back, what AI can replace, and the parts of coaching it never should (3:45) Prompts and context: why the same request gives one coach gold and another garbage (7:38) One project per department, and why your podcast and your sales page need different knowledge (10:14) Why she never copies and pastes AI, and the newsletter she writes but lets AI format (11:20) Skills versus projects, and when to reach for each (12:40) Claude Design for opt-in and sales pages, and why version one never wins (14:18) Ask AI what it needs from you before you prompt, and watch it hand you the checklist (16:41) The skill that reads your live calls and shows you where clients get stuck MEMORABLE QUOTE "I never just copy and paste from Claude." - Valerie Feghali TOOLS MENTIONED Claude and Claude Projects - where each department lives Claude Skills - for the repeatable weekly tasks Claude Design - building and split testing opt-in and sales pages ChatGPT Projects - the same setup if that is your tool of choice Want the full walkthrough?  The AI Immersive Class replay is here: https://wellnessvault.com/challengebuilder2026 THE WELLNESS VAULT - done-for-you content, programs and tools for health and wellness coaches. I Spent a Weekend With 7-Figure CEOs and Here's What I Learned

A room of seven-figure CEOs from other industries taught me more about running a coaching business than any wellness coach event ever has, and not one of them was a health coach. The advice that moved my business forward came from a fabric designer, a launch strategist and a pitch expert. WHAT YOU'LL DISCOVER - How to pre-sell a coaching program before you build it, and why refunding a handful of buyers beats losing three months - Why your emails land in spam or promotions, and the fixes: a dedicated domain, a warmed list, and fewer than five links - What a sales team actually costs: setters, closers, and the 10-15% commission range - Why you own your email list but only rent your social audience - How to add real value in a room of more experienced business owners, even when you feel like the least qualified person there TIMESTAMPS 0:00 A week with CEOs outside my industry 1:34 The fear of having nothing to offer 3:21 Setters, closers and sales commissions 5:21 Why your coaching emails land in spam 7:00 Warming up your email list after a move 8:27 Escaping the promotions folder 10:30 You own your list, you rent your followers 11:17 Challenge Builder Bootcamp 11:46 The launch strategist who couldn't launch 14:10 How to pre-sell a coaching program 16:51 What the room said about my offer 19:29 You don't need to earn your way in 20:15 Side conversations are the real return MEMORABLE QUOTE "that woman who owns a design university taught me how to build an entire sales team for my business" - Valerie Feghali CHALLENGE BUILDER BOOTCAMP Stop the endless hustle to find clients. Three Tests to Make Your Coaching Message Clear

Someone lands on your sales page, reads that you help clients optimize metabolic flexibility, and quietly leaves. They came because they are gaining weight, not sleeping, and breaking out - and not one of those words was anywhere on the page. The problem is not that your coaching is weak. It is that years of clinical training taught you to speak a language your buyer does not use. WHAT YOU WILL LEARN - Why years of professional training make your marketing harder to read, not more credible - The clean glass test, for auditing any sales page, email or social post before it goes live - Three clarity checks: the pause test, the fifth grader rule, and the mirror check - How to trade a clinical explanation for a metaphor your client can repeat to a friend - What your sales page headline has to do in a single line, and why most coaches waste it TIMESTAMPS 0:00 Sounding smart is costing you clients 0:28 Six years of medical school, one rule that stuck 0:55 How to explain an injury without saying labrum 3:11 Why your professional training is losing you clients 4:26 Real coaching website copy, and why it does not land 5:14 What your jargon secretly tells a buyer 6:06 The clean glass test for any sales page 6:46 Test 1, read your copy out loud and mark every pause 7:56 Challenge Builder Bootcamp, starts August 10 8:39 Test 2, the fifth grader rule 9:25 Blood sugar explained with a fire, not glucose uptake 10:33 Test 3, does your buyer see themselves in your copy 11:49 Nobody talks like that, what your client really says 12:37 Your sales page headline has exactly one job 13:24 How coaches lose clients who were ready to buy 15:23 Step 1, go listen to your people 16:00 Step 2, run the clean glass test before you publish 16:21 Step 3, build a shortlist of metaphors 16:51 Step 4, test the first line on everything 17:33 Simple language is not dumbing yourself down 18:40 Your homework, and what your buyer should feel MEMORABLE QUOTE "Their words are the words that we should be speaking back to them." - Valerie Feghali CHALLENGE BUILDER BOOTCAMP - STARTS AUGUST 10 Build a challenge your clients actually want to join, and walk away ready to host it.
