    Is Your Reserve Study Already Out of Date?

    An $80,000 special assessment nearly cost Steven Laidlaw his first condo. It cost two of his neighbors theirs. In this episode of Beyond Rent, the founder of Stelor explains how a reserve study written to keep fees low set an entire building up for a financial shock nobody saw coming, and why that same failure is now playing out across North America at scale. Steven breaks down the structural flaw in the traditional reserve study: it is a static document, written once and relied on for five years while costs, conditions, and priorities shift underneath it. Studies written in 2020 and 2021 assumed 3 to 4% annual inflation, which was reasonable at the time. Construction costs did something very different.     AP Automation, AI Agents, and Vendor Payments

    Accounts payable automation in property management traces back to a single dinner in late 1999. Mike Praeger had just sold a software company when Charlotte property owner Daniel Levine described how hard it was to get vendors paid on time and how much paper stood in the way. Praeger went looking for software he could recommend, found nothing, and started AvidXchange instead. In this episode of Beyond Rent, he joins host Joe Easton to tell that story and everything that followed. Praeger describes AvidXchange less as one 25-year-old company, and more as five companies stacked in five-year increments, each one defined by a pivot. Launching in the cloud back when the cloud was the single biggest obstacle to closing a sale. Adding the Avid Pay Network in 2010, after a CFO explained that 26 banks and seven accounting systems could never produce one clean bill-pay run. Then, deciding suppliers were customers too, which meant standing up separate teams, roadmaps, and products for both sides of every payment. The back half focuses on AI in production rather than AI in theory. Praeger walks through the agents now logging into thousands of individual supplier portals to apply payments, work that used to take an army of people. He covers invoice capture, which has moved well past OCR into near-perfect reading, with coding recommendations drawn from years of history, and explains why he believes property management, long dismissed as a technology laggard, has exactly the right use cases to become an early leader in AI adoption.

    Security Deposits Are a Risk Center, Not a Profit Center

    Security deposit management is the rare property management process that costs real time, creates real legal exposure, and generates no revenue at all. That combination is exactly why it has gone unfixed for decades. In this episode of Beyond Rent, Conor Brennan, Co-Founder of Rentable, makes the case that security deposits are a risk center rather than a profit center, and walks through what it takes to modernize a process that most operators still run on paper checks and manual reconciliation. Conor breaks down the compliance burden state by state: trust and escrow account requirements, interest tracking, mandatory resident documentation, and refund windows that range from 14 days in New York to 30 days in Massachusetts.     Most operators trying to scale a property management company assume profitability arrives gradually. Nik Boone says it doesn’t arrive at all until roughly 600 doors.
